What it does
Automatically creates 15-minute buffer blocks before and after Outlook meetings for preparation and wrap-up, preventing back-to-back meetings and giving you time to review notes, prep materials, or decompress.
Why I recommend it
Back-to-back meetings lead to burnout, lack of preparation, and context switching fatigue. Automatic buffers ensure you have transition time without manually blocking calendar slots for every meeting.
Expected benefits
- Better meeting preparation and outcomes
- Reduced meeting fatigue and burnout
- Time to capture notes and action items
- More sustainable work pace
How it works
New meeting accepted or created in Outlook -> check for buffer blocks before/after -> if not present, create 15-min “buffer” events marked as busy -> protect from being overbooked -> optionally add prep/wrap-up tasks to buffer time.
Quick start
For the next week, manually add 15-minute “prep” and “wrap-up” blocks around your key meetings. Notice the impact on your effectiveness and stress. Then automate buffer creation for all accepted meetings.
Level-up version
Adjust buffer length based on meeting type (30 min for exec meetings, 5 min for quick check-ins). Add automatic prep tasks or talking points to buffer time. Sync with task management to pull action items from last meeting. Delete buffer if meeting is canceled.
Tools you can use
Calendar: Outlook, Microsoft 365
Automation: Power Automate, Zapier, Make
Task management: Microsoft To Do, ClickUp
Scheduling: Calendly, Microsoft Bookings
Also works with
Calendar platforms: Google Calendar with similar buffer logic
Productivity: Clockwise, Reclaim.ai for intelligent scheduling
Meeting tools: Zoom, Teams for meeting context
Technical implementation solution
- No-code: Power Automate trigger on calendar event created/accepted -> create two 15-min buffer events before/after -> set as busy -> link to original meeting in description.
- API-based: Microsoft Graph API webhook on calendar events -> for each new/accepted meeting -> check existing buffers -> create buffer events via API with busy status -> optionally add OneNote prep page link.
Where it gets tricky
Handling all-day events and multi-hour meetings (where to add buffers), managing overlapping meetings when buffers conflict, respecting urgent meetings that need immediate back-to-back scheduling, and avoiding buffer creation for internal quick syncs.
