Building an AI Content Staging Pipeline: ZimmWriter → Airtable → GoHighLevel

I built this system to solve a specific constraint: ZimmWriter outputs finished blog content but can only publish natively to WordPress, while GoHighLevel's blog API has no native scheduling capability that works via API. I needed scheduled, automated publishing to GHL blogs without manual intervention.

The Architecture

This is a webhook-driven middleware pipeline that intercepts AI-generated content, stages it with scheduling metadata, and orchestrates timed publication across platforms that don't natively talk to each other.

Trigger Layer: Webhook Interception

ZimmWriter's API fires a webhook payload when articles are generated. I capture these POST requests containing the complete article structure – title, body, excerpt, categories, tags, featured images, and metadata. The webhook listener validates the payload structure and initiates the staging workflow.

Processing Layer: Data Extraction & Normalisation

The raw payload gets parsed and normalised. I extract each field (heading hierarchies, HTML content, taxonomies) and map them to a standardised schema. This matters because different systems expect different data structures – normalisation ensures clean handoffs downstream.

Storage Layer: AWS S3 Asset Management

Featured images and media assets are uploaded to S3 with organised bucket structures (/blog-assets/{article-id}/). S3 serves two purposes: permanent storage and CDN delivery. I generate pre-signed URLs that Airtable references and GHL ultimately consumes. This decouples media from content, preventing broken images if source URLs change.

Orchestration Layer: Airtable Database

Airtable acts as the staging database and publication queue. Each record contains:

  • Full article content and metadata
  • S3 asset URLs
  • Publication timestamp (scheduled date/time)
  • Publishing status flags
  • Target blog configuration

The relational structure links articles to blogs, categories, and publishing schedules. Airtable's API enables both writes (from webhook) and reads (for scheduled publishing).

Execution Layer: Timed Publication

A scheduled automation queries Airtable for records where scheduled_time <= now() and status = 'queued'. It then:

  1. Fetches the article payload
  2. Calls GoHighLevel's blog API with the formatted content
  3. Updates the Airtable record status to 'published'
  4. Logs timestamps and any errors

Error Handling & Reliability

I implemented retry logic for webhook failures, validation checks at each transformation step, and dead-letter queuing for failed publications. Status tracking in Airtable provides audit trails for every article.

Key decision: Should this be webhook-driven or polling-based? Webhooks mean real-time processing but require reliable endpoints. Polling is simpler but adds latency. I chose webhooks because content generation is event-driven – when ZimmWriter finishes an article, the pipeline should trigger immediately.

The Staging Database Question

You need somewhere to queue content before publication. The critical consideration: should this be a simple JSON file, a proper database, or a platform like Airtable?

This isn't about technical capability – it's about who needs visibility. If clients or team members need to review the queue, approve posts, or adjust schedules, you need a UI. That's why Airtable made sense here: it's a database and an interface without building custom admin panels.

Trade-off: Platform dependency vs development time. Building a custom dashboard takes weeks; Airtable works today.

Media Asset Strategy

AI-generated content includes images. Decision point: where do they live? Storing them in Airtable hits size limits quickly. GHL's media library works but lacks granular control.

AWS S3 solves this, but introduces complexity. You're now managing bucket policies, CDN delivery, and URL persistence. The question to ask: will you need to reference these images elsewhere? If yes, centralised storage wins. If no, keep it simple.

Human-in-the-Loop or Fully Automated?

This is the biggest architectural decision. Do you trust AI content enough to publish automatically, or do you need approval gates?

I built in staging because trust scales differently than automation. One client might approve hands-free publishing; another wants review. The system should accommodate both without rebuilding.

Error Handling Philosophy

Webhooks fail. APIs rate-limit. S3 uploads timeout. The key insight: decide what failures are recoverable vs. critical. A failed image upload? Retry. A missing article title? Stop everything.

Build retry logic for transient failures, but fail loudly for data integrity issues. Queue systems like this need idempotency – processing the same webhook twice shouldn't create duplicate posts.

The Build vs. Buy Moment

Could Zapier handle this? Technically, yes. But multi-step conditional logic, retry mechanisms, and custom data transformation get expensive and fragile fast. When complexity exceeds the platform's sweet spot, build.

The automation engineering mindset isn't about code – it's about identifying failure points before they happen.
