What it does
Automatically validates customer tax ID numbers (VAT, GST, EIN) in Stripe against government databases before generating invoices, preventing rejected invoices and compliance issues from invalid tax information.
Why I recommend it
Invalid tax IDs cause invoice rejections, delayed payments, and compliance problems. Automated validation at point of entry catches errors immediately, maintaining clean records and preventing downstream headaches.
Expected benefits
- Zero invalid tax IDs in invoices
- Faster payment processing
- Compliance risk reduction
- Fewer invoice corrections
- Improved accounting accuracy
How it works
Customer enters tax ID in Stripe checkout or billing portal -> trigger validation API call to government tax database (VIES for EU VAT, IRS for EIN, etc.) -> check if number is valid and active -> if invalid -> reject and prompt correction -> if valid -> save to customer record and proceed with invoice generation.
Quick start
Review your last 100 Stripe invoices for tax ID errors or missing information. Note how many had issues. Manually validate questionable tax IDs using online government validators. Calculate time spent on corrections. Identify your high-volume tax regions. Then automate validation for those regions first.
Level-up version
Real-time validation during checkout with instant feedback. Check not just format but active registration status. Auto-populate company name from tax database to verify match. Store validation timestamp for audit trail. Alert accounting team if previously valid ID becomes invalid. Support multiple tax ID types per customer.
Tools you can use
Payment: Stripe
Validation: VIES for EU VAT, IRS API for EIN, third-party validators
Automation: Zapier, Make, Stripe webhooks
CRM: Sync validated data to GoHighLevel, HubSpot, Salesforce
Also works with
Other payments: Chargebee, Recurly, PayPal
Tax compliance: Avalara, TaxJar for expanded validation
Accounting: QuickBooks, Xero for sync
Technical implementation solution
- No-code: Stripe customer updated trigger -> Zapier extracts tax ID -> validation API call to VIES or similar -> if invalid -> send email to customer requesting correction -> update Stripe with validation status.
- API-based: Stripe webhook on customer.updated -> extract tax ID and country -> call appropriate validation API (VIES for EU, ABN Lookup for Australia, etc.) -> check response validity -> if invalid -> flag customer record and email notification -> if valid -> add validation timestamp to metadata -> log all validation attempts for audit.
Where it gets tricky
Handling different validation APIs for different countries, dealing with API downtime gracefully, managing validation rate limits, determining when to block vs warn on invalid IDs, and keeping up with changing tax ID formats and regulations.
