Airtable Cross-Base Link Validator

What it does

Automatically validates Airtable cross-base record references and alerts admins when broken links are detected, preventing data corruption from deleted or moved records.

Why I recommend it

Cross-base references break silently when records are deleted or moved. Automated validation catches broken links immediately, maintaining data integrity across your entire Airtable workspace.

Expected benefits

  • Maintained data integrity
  • Early broken link detection
  • Prevented cascading data issues
  • Better cross-base reliability

How it works

Scheduled daily check of Airtable bases with cross-base references -> query each linked record to verify it exists -> if record not found or link broken -> log the broken reference -> alert admin with base name, table, record ID, and broken link details -> optionally suggest fixes.

Quick start

Document which bases link to each other and how. Manually check a few cross-base links to see if they resolve. Note what happens when linked record is deleted. Build simple validator script, test with known broken links, then schedule regular checks.

Level-up version

Auto-fix broken links when replacement record is obvious (same name in same table). Track broken link trends to identify problematic bases. Prevent record deletion if cross-base links exist. Weekly digest of link health. Suggest data model improvements to reduce cross-base dependencies.

Tools you can use

Database: Airtable

Automation: Airtable automations, Zapier, Make

Validation: Custom scripts, Airtable API

Alerting: Slack, email

Logging: Google Sheets, Airtable for broken link log

Also works with

No-code databases: SmartSuite for similar cross-base features

Data validation: Custom API scripts

Monitoring: Airtable Sync for data redundancy

Technical implementation solution

  • No-code: Airtable automation scheduled daily -> for each linked record field -> attempt to fetch linked record -> if fetch fails -> add to broken links table -> Slack notification.
  • API-based: Scheduled job -> Airtable API list all bases -> identify linked record fields -> query each linked record -> check if exists -> log broken links to database -> email digest of issues -> suggest fixes based on record history.

Where it gets tricky

Handling intentional record deletions vs accidental breaks, managing performance for bases with thousands of links, dealing with permission issues that prevent link validation, and deciding whether to auto-fix or alert for manual review.
