What it does
Automatically creates a new Asana project from a standardized template when a CRM deal is marked “won,” populating project tasks with customer-specific information, assigning team members, and setting deadlines based on contract terms.
Why I recommend it
Manual project creation for new customers is error-prone and inconsistent. Automated project launch ensures every customer gets identical world-class onboarding, nothing falls through cracks, and teams have clear tasks from day one.
Expected benefits
- Zero manual project setup
- Consistent customer onboarding
- Immediate team clarity on responsibilities
- Reduced time-to-value for customers
- No missed onboarding steps
How it works
CRM deal marked “won” -> trigger automation -> fetch deal details (customer name, contract value, start date, assigned team) -> create Asana project from template -> customize project name with customer name -> populate custom fields with deal data -> assign tasks to appropriate team members -> set task due dates based on start date -> add customer info to project description -> notify team -> link Asana project back to CRM record.
Quick start
Document your current customer onboarding process. Create Asana project template with all standard tasks, assignments, and dependencies. Manually create projects for next 5 customers using template. Track which customizations are needed each time. Identify fields that should auto-populate from CRM. Once template is refined, automate project creation on deal close.
Level-up version
Multiple templates based on service type, contract value, or customer tier. Dynamic task creation based on purchased products/services. Auto-populate project with customer goals from sales notes. Integration with calendar to schedule kickoff meetings. Slack channel creation for customer project. Sync project progress back to CRM. Alert customer success if project falls behind schedule. Generate welcome email from project creation.
Tools you can use
Project management: Asana, ClickUp, Monday.com
CRM: GoHighLevel, Salesforce, HubSpot, Pipedrive
Automation: Zapier, Make, Asana API
Communication: Slack for team channels
Calendar: Google Calendar for scheduling
Also works with
PM tools: Jira, Trello, Basecamp for similar templates
Docs: Auto-create welcome folder in Google Drive
Support: Create customer portal in Zendesk
Technical implementation solution
- No-code: Salesforce opportunity stage changed to “Closed Won” -> Zapier trigger -> Asana “Create Project from Template” -> replace [CUSTOMER_NAME] placeholders in project name -> assign tasks based on Salesforce owner -> set start date to close date -> add Salesforce link to project description.
- API-based: GoHighLevel deal webhook on status change to “won” -> fetch deal details and contact info -> Asana API duplicate template project -> update project name with customer name -> loop through tasks setting due dates (kickoff = start_date, task2 = start_date + 3 days, etc.) -> assign tasks based on deal owner and service type -> populate custom fields from deal data -> create Slack channel for customer -> GoHighLevel API add Asana project URL to deal -> notify assigned team members -> send welcome email to customer.
Where it gets tricky
Handling different service types requiring different templates, managing task assignments when team members change, coordinating project start dates with customer availability, keeping template updated as onboarding process evolves, and avoiding creating projects for deals that fall through after initially marked won.
