What it does
Syncs client email threads to ClickUp task comments so project teams have full context without checking inboxes.
Why I recommend it
Agencies juggle dozens of clients. Centralizing communication prevents misalignment and speeds execution.
Expected benefits
- Transparent communication history
- Easier handoffs between team members
- Fewer “who said what?” moments
- Better compliance/audit trails
How it works
When email arrives (with project tag or BCC) -> automation finds related ClickUp task via ID in subject/custom field -> appends formatted comment with sender, timestamp, and body -> notifies assignee.
Quick start
Add +taskID to subject lines manually and paste into ClickUp to test linking logic.
Level-up version
Include attachments, log phone call transcripts, and sync outbound emails too.
Tools you can use
Email: Gmail, Outlook
PM: ClickUp
Automation: Zapier, Make
Storage: Google Drive for attachments
Also works with
Asana, Monday.com, Jira email logging.
Technical implementation solution
- No-code: Gmail filter -> Zapier -> ClickUp comment.
- API-based: Email webhook -> Lambda -> parse -> ClickUp API -> Slack mention.
Where it gets tricky
Matching emails to the right task without messy subject lines, handling massive attachments, and respecting client confidentiality.
