What it does
Automatically adds reminders to your phone calendar 30 days before contract expiration dates, ensuring you review, renegotiate, or cancel subscriptions before auto-renewal.
Why I recommend it
Forgotten contracts auto-renew and waste money. Calendar reminders 30 days out provide time to negotiate better terms, cancel unused services, or prepare for renewal conversations.
Expected benefits
- Zero surprise auto-renewals
- Better contract negotiation leverage
- Cancelled unused subscriptions
- Saved thousands annually
How it works
Contract end date entered in tracking system (spreadsheet, CRM, contract management) -> calculate reminder date (30 days before expiry) -> create calendar event in Google Calendar/Outlook with contract details (vendor, amount, renewal terms) -> set notification -> optionally create task for renewal review.
Quick start
Create spreadsheet of all contracts with end dates. Manually set calendar reminders for next 5 expiring contracts. Note what info you need in reminder. Then automate calendar creation from contract tracking system.
Level-up version
Staged reminders (90 days, 60 days, 30 days, 7 days). Include contract value and auto-renewal terms in reminder. Link to contract document. Assign renewal responsibility to team member. Track renewal decisions and savings. Alert for price increases.
Tools you can use
Contracts: Google Sheets, Airtable, contract management systems
Calendar: Google Calendar, Outlook, Apple Calendar
Automation: Zapier, Make, n8n
Contract management: Ironclad, ContractWorks, PandaDoc
Tasks: Asana, ClickUp for renewal tasks
Also works with
Procurement: Coupa, Procurify for contract tracking
Finance: Xero, QuickBooks for vendor management
Subscription management: Subscript, Tropic, Vertice
Technical implementation solution
- No-code: Airtable formula calculates reminder date (contract end – 30 days) -> Zapier creates Google Calendar event when reminder date arrives -> includes contract details in description.
- API-based: Scheduled daily job -> query contract database for contracts expiring in 30 days -> Google Calendar API create event with contract details -> set notification -> optionally create task in project management tool -> track renewal status.
Where it gets tricky
Managing contracts with complex renewal terms (automatic vs optional renewal), handling contracts with notice periods different than 30 days, ensuring calendar reminders reach the right person for each contract, and tracking renewal decisions.
