What it does
Sends tailored notifications with submission data to different recipients depending on form answers.
Why I recommend it
Keeps responses organized and reduces manual forwarding.
Expected benefits
- Faster response times
- Clear ownership per request
- Better tracking of submissions
- Personalized confirmation emails
- Automatic documentation for audits/compliance
- Ability to analyze request volume by category
How it works
Form submission -> Apps Script/Zapier evaluates routing rules (department, urgency, geography) -> sends customized Slack/email with full payload + attachments to the correct team, logs entry into Sheets/CRM, creates task/ticket if needed -> optional confirmation receipt emailed to submitter with next steps.
Quick start
Use the built-in notification add-on to capture baseline expectations, then document the routing logic (which questions map to which teams) before building the automated version.
Level-up version
Attach PDFs, auto-create tasks/tickets in Asana/Jira, send different confirmation templates per request type, add SLAs + reminder nudges, and push anonymized data to Looker for trend analysis.
Tools you can use
Forms: Google Forms, Form Publisher add-on
Automation: Apps Script, Zapier, Make
Docs/Storage: Google Sheets, Notion, Drive folders for attachments
Ticketing: Jira Service Management, Asana, ClickUp
Also works with
Jotform, Typeform conditional notifications.
Technical implementation solution
- No-code: Apps Script -> conditional email logic + Slack webhook + Sheets logging; optional PDF receipts via Form Publisher.
- API-based: Form webhook -> Google Cloud Function -> evaluate routing -> create tasks via Asana API, send Slack + email notifications, update CRM, and write audit record in BigQuery.
Where it gets tricky
Maintaining routing logic as form fields change, preventing duplicate notifications when users resubmit, handling attachments securely for sensitive requests, and ensuring teams actually acknowledge/close the requests surfaced by the automation.
