Zapier Filter Duplicate Records

What it does

Prevents duplicate records from being created in your destination system by checking if a record with the same email, phone, or ID already exists using Zapier’s built-in storage or a lookup table.

Why I recommend it

Duplicate prevention is one of the most common automation needs. Without it, you end up with messy data, confused team members, and wasted follow-up effort. This simple filter saves hours of manual deduping later.

Expected benefits

  • Cleaner CRM and database with no duplicates
  • Less time cleaning up duplicate contacts
  • Better email deliverability (no double-sending)
  • More accurate reporting and segmentation

How it works

New record triggers automation -> check if email/phone/ID exists in storage or lookup table -> if exists, stop or update existing -> if not, create new record and store identifier.

Quick start

Use Zapier’s “Filter” step to stop the automation if a duplicate is detected based on a simple lookup in Google Sheets or Airtable. Start with email matching only, then add phone and other fields once it’s working.

Level-up version

Use Zapier Storage to keep a running list of processed IDs without needing an external sheet. Add fuzzy matching for names (e.g., “Mike Smith” vs “Michael Smith”) and dedupe based on multiple criteria (email OR phone OR company + name).

Tools you can use

Automation: Zapier, Make, n8n

Storage: Zapier Storage, Google Sheets, Airtable

Lookup: CRM native dedupe, database queries

Also works with

Automation platforms: Make (has better built-in deduping), n8n, Integromat

Storage: Redis, PostgreSQL, MySQL for high-volume needs

Technical implementation solution

  • No-code: Trigger -> lookup email in Google Sheets/Airtable -> if found, stop or update row -> if not found, create record + add email to tracking sheet.
  • API-based: Store processed identifiers in Redis/database -> on new trigger, check if identifier exists -> if yes, skip or update -> if no, process and store identifier.

Where it gets tricky

Choosing the right unique identifier (email? phone? combination?), handling legitimate duplicates (same person, multiple roles), and keeping your lookup table performant as it grows to thousands of records.
