What it does
Automatically generates and emails return shipping labels through Gorgias when customer return requests are approved, integrating with ShipStation or carrier APIs to create labels, update order status, and track return shipments.
Why I recommend it
Manual return label generation creates customer friction and support team bottlenecks. Automated label creation provides instant customer service, reduces support workload, and maintains positive customer experience even during returns.
Expected benefits
- Instant return label delivery
- 80% reduction in support time per return
- Improved customer satisfaction
- Automated return tracking
- Seamless refund triggering
How it works
Customer requests return via Gorgias -> support agent approves return -> automation triggers -> creates return shipping label via ShipStation or carrier API -> emails label to customer -> updates order status to “return initiated” -> tracks return shipment -> notifies warehouse when return in transit -> triggers refund processing when return received -> closes support ticket.
Quick start
Manually process 20 returns. Document each step and time required. Note common issues (wrong address, wrong carrier, customer confusion). Create template return email with label attachment. Calculate cost of manual processing. Then automate label generation for approved returns.
Level-up version
Automatic approval for qualifying returns (within window, eligible products). Dynamic carrier selection based on customer location and cost. Include return instructions with label. QR code for label-free returns. Real-time return tracking updates to customer. Auto-restock or disposal routing based on return reason. Partial refund calculation for restocking fees. Analytics on return reasons and product quality.
Tools you can use
Support: Gorgias, Zendesk, Intercom
Shipping: ShipStation, EasyPost, carrier APIs (UPS, USPS, FedEx)
E-commerce: Shopify, WooCommerce for order updates
Automation: Zapier, Make, Gorgias API
Returns: Loop Returns, Returnly for advanced flows
Also works with
Warehouse: 3PL integrations for return receiving
Refunds: Stripe, PayPal for automated refunds
Analytics: Track return rates and reasons
Technical implementation solution
- No-code: Gorgias ticket tagged “return approved” -> Zapier trigger -> create ShipStation return label with customer address from order -> email label PDF to customer via Gorgias -> update Shopify order with return tracking number.
- API-based: Gorgias macro “approve return” clicked -> webhook trigger -> fetch original order details -> ShipStation API create return label with correct product weight and customer address -> generate label PDF -> Gorgias API send email to customer with label attached and return instructions -> Shopify API update order status to “return_initiated” -> carrier tracking webhook monitors return progress -> warehouse notification when delivered -> trigger refund workflow -> close Gorgias ticket.
Where it gets tricky
Handling international returns with customs, calculating return shipping costs (customer pays vs free returns), managing restocking fees and partial refunds, coordinating warehouse return receipt with refund timing, and handling damaged items or wrong items returned.
