WooCommerce Pre-Order Manager

What it does

Manages WooCommerce pre-orders by automatically tracking inventory arrivals, processing payments, updating order statuses, and triggering fulfillment workflows when stock becomes available, handling the entire pre-order lifecycle.

Why I recommend it

Pre-orders capture demand and revenue before launch, but managing fulfillment manually is error-prone. Automated pre-order management ensures customers get their products immediately upon availability without manual tracking.

Expected benefits

  • Revenue before product launch
  • Automatic fulfillment triggering
  • Reduced manual order management
  • Better inventory demand forecasting
  • Improved customer experience

How it works

Customer places pre-order in WooCommerce -> order marked “pre-order” status -> payment held or charged -> inventory system updated when stock arrives -> automation detects inventory change -> processes held payments -> updates orders to “processing” -> triggers fulfillment workflow -> sends shipping notification -> marks complete.

Quick start

Manually track pre-orders in spreadsheet. Monitor inventory arrivals. When product arrives, manually process payments and update order statuses. Send fulfillment to warehouse. Note how many orders and time required. Calculate error rate. Then automate the inventory monitoring and status updates.

Level-up version

Staged fulfillment (first-come-first-served for limited stock). Partial inventory handling (fulfill 50% of pre-orders with 50% stock arrival). Customer communication throughout journey (order placed, inventory expected date, stock arrived, shipped). Pre-order demand forecasting. Automatic supplier ordering when pre-orders exceed threshold. Partial refunds if unable to fulfill.

Tools you can use

E-commerce: WooCommerce, WooCommerce Pre-Orders plugin

Inventory: TradeGecko, Cin7, DEAR for stock management

Fulfillment: ShipStation, Shopify Fulfillment

Automation: Zapier, Make, WooCommerce API

Communication: Mailchimp, Klaviyo for customer updates

Also works with

Platforms: Shopify, BigCommerce for similar flow

Warehousing: 3PL integrations for fulfillment

Payments: Stripe, PayPal for payment processing

Technical implementation solution

  • No-code: WooCommerce order created -> Zapier checks if product has “pre-order” tag -> add order tag “pre-order” -> store in Google Sheet -> when inventory arrives (manual trigger) -> process batch payment authorizations -> update order statuses -> email customers.
  • API-based: WooCommerce webhook on order.created -> check product pre-order status -> if pre-order -> payment held or authorized -> store order in pre-order queue -> inventory management system webhook when SKU stock >0 -> fetch all pre-order orders for SKU -> Stripe API capture payments -> WooCommerce API update order status to “processing” -> ShipStation API create shipment -> email customer with tracking -> mark complete.

Where it gets tricky

Handling payment holds that expire before inventory arrives, managing partial inventory shipments fairly, communicating realistic delivery timelines, handling cancellations and refunds, and coordinating between payment, inventory, and fulfillment systems.
